Bookkeeper We are looking for a full-charge bookkeeper, a self-starter who can multitask effectively.
Strong communication, organizational and customer service skills are essential.
Demands for technology expertise include proficiency with such applications as Microsoft Excel or QuickBooks.
We are seeking candidates with at least five years' experience, although expectations may differ significantly by your job experience.
Construction company experience is a plus.
Having a notary stamp also a plus.
Job Responsibilities & Outies:
General Ledger:
Responsible for full cycle accounting duties Prepare and post all journal entries for precise records and ensure accuracy in general ledger Manage general ledger reconciliation Maintain chart of accounts Perform month-end and year-end closing Subledgers:
Accounts payable o Code and enter reoccurring vendor expense invoices to appropriate department o Code, match, verify and enter vendor COG invoices to corresponding purchase order o Resolve vendor issues and discrepancies o Established purchase order system o Manage accounts payable reconciliation o Manage weekly check run batches to include pulling of checks, verifying vendors, printing of batch, acquiring required signature and disseminating o Perform vendor setup with W-9, COI and vendor packet o Prepare and disseminate 1099's Accounts receivable o Invoice service customers weekly according to time & material work orders and quoted work o Create AIA pay applications on progressive billing projects o Invoice construction customers according to AIA pay applications o Post check bank deposits to customer accounts o Process customer credit card payments and post to customer account o Resolve customer issues and discrepancies o Manage accounts receivable reconciliation o Prepare monthly statements o Produce and process notices and liens according to mechanic lien rights o Produce and disseminate collection nasty grams on aged accounts o Perform customer setup with customer packet and Sales & Use certificate (if applicable) Payroll o Review employee time sheets and sync approved time into accounting software program before submitting into CPEO website.
o Apply and process employee reimbursements, deductions and personal time off requests within the CPEO website o Work with CPEO prevailing wages projects for compliance with Davis Bacon act o Work with CPEO weekly for certified payroll report on prevailing wage project and customers o Work with CPEO weekly to enter labor into QuickBooks o Process weekly child support with the Attorney General and post payments in QuickBooks o Work with CPA to process quarterly 940, TWC and post in QuickBooks o Work with CPA to submit quarterly 941 reports, quarterly TWC reports, quarterly OK reports and annual 940 report Inventory o Data entry for job costing and accountability program Finances:
Financials o Prepare and create profit & loss statements for jobs, departments and company as a whole o Prepare and create a balance sheet and trial balance Banking o Prepare and make bank deposits o Make appropriate banks transfers o Download banking transactions for QuickBooks import o Manage and perform bank reconciliation for operating, impress, investment, savings and wire accounts o Manage and perform credit card reconciliation o Manage and perform petty cash reconciliation Fixed Assets o Track fixed assets and monitor depreciation schedules o Reconcile notes payable of assets to lending institution o Perform annual physical inventory of assets o Generate and file annual property rendition with Denton County Human Resources o Process open enrollment of benefits o New employee processing and orientation o Process employee expense reports Risk Management o Manage and maintain proper insurance coverage for liability, property, bonds and workers comp o Review subcontractor agreements Forecasting and Budgeting o Manage cash flow and manage working capital o Create annual budget in collaboration of ownership o Prepare project profitability reports for departments o Implement cost saving programs o Project company tax liability for owner tax planning o Perform account analysis on assets and liabilities Taxes o Work with company CPA on preparation of income (1120s) and franchise taxes o Prepare and process monthly sales taxes with Texas State Comptroller and post discounts and payment in QuickBooks Management o Manage accounting clerks o Manage customer service o Manage HQ site facilities COVID-19 Precaution(s):
